How it works
Intake Workflow
Clean data from the start
The message is read, structured and matched before anything is saved. Names, emails, phone numbers and Eircodes are put in one format, and the enquiry is matched to an existing client or flagged as new.
Product-aware questions
A commercial motor enquiry is asked for the registration, the year and the use class, and a home enquiry gets different questions. They are asked one at a time, in the order a broker would take them.
Out-of-hours replies
An enquiry that arrives at midnight is answered at midnight. You set what Aoibhe may say and when she has to wait for a person.
Broker takeover
When a broker replies on a thread, the AI stops working it. Everything gathered up to that point is already on the task, so you can pick up the conversation without reading the whole chat.

Questions
Intake FAQ
- Which classes of business can Aoibhe take an enquiry for?
- Whichever ones your brokerage places. Aoibhe recognises what the enquiry is (a new quote, a policy change, a renewal, a claim, a complaint), and the class-specific questions come from your own forms and knowledge base. What lands in the book is stored against the ordinary class vocabulary: motor, home, health, travel, commercial, commercial vehicle, motor fleet, commercial combined, farm, public and employers liability, professional indemnity, property owners, office, shop, contractors all risks, cyber and the rest.
- Which channels does intake run on?
- WhatsApp, Gmail, Outlook and Microsoft 365 including shared mailboxes, the web chat widget, and your web forms. All of them land in the same structured queue.
- Does Aoibhe answer enquiries out of hours?
- Yes. Structured intake runs day or night across motor, home, business, commercial, travel and bespoke lines. Out-of-hours enquiries are answered and qualified, and anything that needs a person is queued with the context already gathered.
- Is automatic replying switched on by default?
- No. Autonomous replying is off by default and is enabled per connection, so a brokerage decides channel by channel where Aoibhe may answer on her own. Until it is enabled, she prepares the work and a broker sends it.
- What happens when a broker replies in the middle of a conversation?
- Aoibhe stops working that thread immediately. A broker reply counts as a takeover, so a client is not answered by a person and the AI at the same time.
- How does Aoibhe know whether an enquiry is from an existing client?
- Contact details are normalised as the message arrives and matched against the book. An enquiry resolves to a client you already hold or is flagged as new, which stops the same person being entered twice under different spellings.
